ClinicSaarthi is an AI-powered administrative communication and appointment-management technology platform for clinics. This policy explains what information we may process when a clinic uses ClinicSaarthi, and when a patient interacts with a clinic through ClinicSaarthi-powered calls or messages.

ClinicSaarthi is a technology platform and is not a healthcare provider.

1. Information we may process

Depending on the clinic and the services it enables, ClinicSaarthi may process the following information:

  • Patient or customer name
  • Mobile number
  • WhatsApp identifiers (such as the WhatsApp phone number used to message a clinic)
  • Appointment date and time
  • Doctor or specialty requested
  • Clinic information (clinic name, address, hours, doctors, services)
  • Call and message content
  • Call transcripts
  • Call recordings, where a clinic has enabled recording
  • Communication language preference (for example Hindi, English or Hinglish)
  • Appointment booking, rescheduling and cancellation information
  • Technical and security information (device/browser information, IP address, timestamps, logs, and error diagnostics)

We ask clinics not to send us clinical records, diagnostic reports or other sensitive medical information through ClinicSaarthi, because the platform is designed for administrative workflows.

3. ClinicSaarthi is not a healthcare provider

ClinicSaarthi does not provide:

  • Diagnosis
  • Treatment
  • Prescriptions
  • Medical advice
  • Emergency medical services

Medical decisions remain between patients and qualified healthcare professionals. ClinicSaarthi only supports administrative communication and scheduling workflows on behalf of participating clinics.

4. WhatsApp Business Platform communications

Where a clinic enables WhatsApp messaging, confirmations, reminders and follow-up messages are delivered through the WhatsApp Business Platform and its associated providers. Those messages, and the phone numbers used to send and receive them, are processed by WhatsApp and Meta under their own terms and privacy policies. Recipients can ask a clinic to stop sending WhatsApp messages at any time, or reply with an opt-out keyword where supported.

5. AI-assisted interactions

Calls and messages handled by ClinicSaarthi may be answered by an automated, AI-assisted assistant. Callers are able to ask for a human at any time, and calls can be transferred or escalated to clinic staff. AI systems can make mistakes, including mishearing names, numbers or requested times, so appointment details should always be confirmed with the clinic. Call audio, transcripts and message content may be processed by AI service providers to generate responses, transcripts and summaries.

6. Third-party service providers

We use third-party providers to operate the platform. These may include cloud hosting and database providers, workflow automation providers, calendar and scheduling providers, telephony and voice providers, messaging providers, AI and speech providers, analytics providers, and payment providers for clinic subscriptions. Providers receive only the information needed to perform their function, and we require them to handle it under their own contractual and privacy commitments.

7. Participating clinic responsibilities

Each participating clinic decides what information is collected through its ClinicSaarthi setup, whether call recording is enabled, what messages are sent, and how the clinic uses the information afterwards. Clinics are responsible for informing their patients, for obtaining any consent required by applicable law, for the accuracy of the availability and clinic information they configure, and for their own records and clinical systems. Patient requests about clinic records should be directed to the clinic.

8. Data retention

We keep information for as long as needed to provide the service to the relevant clinic and for a reasonable period afterwards, and longer where retention is required for legal, security, fraud-prevention, accounting, operational or dispute-resolution purposes. Call recordings and transcripts are retained only where a clinic has enabled them, and are deleted or de-identified when no longer required for those purposes.

9. Data security

We use reasonable technical and organisational measures such as encrypted transport, access controls, role-based access to clinic dashboards, and audit logging. No system can be guaranteed to be completely secure, and we do not claim any certification we have not obtained. We do not represent that ClinicSaarthi holds HIPAA certification, ISO certification or any other regulatory certification.

10. Your rights: access, correction and deletion

Subject to applicable law, you may request access to the personal information we hold about you, ask us to correct it, or ask us to delete eligible information. Write to admin@clinicsaarthi.ai, or see our data deletion page. We may need to verify your identity before acting on a request, and some information may be retained where the law permits or requires it.

11. Consent

Where applicable law requires consent — for example for certain marketing or promotional messages, or for call recording — that consent is collected by the participating clinic or at the point of interaction, and it can be withdrawn. Withdrawing consent does not affect processing that already took place, and may limit the clinic's ability to contact you about appointments.

12. Children's information

ClinicSaarthi is not intended to be used directly by children. Where an appointment is booked for a child, we expect a parent or legal guardian to make the request and provide the details. If you believe a child has provided information directly, contact us and we will review and delete it where appropriate.

13. Emergency situations

ClinicSaarthi must not be used for medical emergencies. In an emergency, call your local emergency number or go to the nearest hospital immediately. Automated calls and messages may be delayed or undelivered and are not monitored as an emergency service.

14. Updates to this policy

We may update this policy as the service or applicable law changes. The effective date at the top of this page shows when it was last updated. Material changes will be reflected here, and continued use of the service after an update means the updated policy applies.
